A Timeline to Securing Your Wedding Vendors

Hello 🍋s! Now that our wedding has wrapped up, I wanted to share some helpful tips for securing your wedding vendors.

✨ Here’s a general rule of thumb:

If your vendor is a solo provider (such as photographers & videographers, makeup artist, emcee), it’s best to reach out as early as possible. Once they’re booked for the day, it’s almost impossible for them to take on another couple!

For vendors with larger teams or scalable services (such as caterers, florists or pop up stations), there’s usually a bit more flexibility and back up options available, so these can typically be engaged a little later in the planning timeline, of course within reasonable lead time to avoid any last minute stress!

These tips are based what worked well for us with minimal hiccups along the way. Hope it’ll help you out too, and feel free to ask any questions! ☺️

... Read moreSecuring wedding vendors at the right time is crucial for a smooth and enjoyable wedding planning experience. Based on the detailed timeline and guidance illustrated in the OCR content, vendors can be prioritized to minimize stress and secure top choices. Starting 11-12 months prior, the first and most critical step is locking in your venue and photographer or videographer. These solo providers are highly sought-after and tend to book quickly, so early outreach guarantees availability and possibly better pricing. Booking your venue early also helps set the date and overall structure for your wedding. Around 9-10 months before the wedding, focus on hiring makeup artists and wedding planners if desired. Makeup artists require ample time for trial sessions and schedule coordination. Planners help with budgeting, vendor coordination, and timeline management, ensuring smooth progress throughout. At this stage, begin shortlisting external caterers if your venue does not provide full services. Discuss buffet options, menu, and logistics early to reduce last-minute issues, especially during peak seasons or holidays. It’s also an ideal time to select bridal gowns and start tailoring processes, including accessories like shoes and veils. Between 7-9 months, secure wedding favours, photo booths, and live stations. These add-on services often require coordination with main vendors and venues to arrange setup, power, and space. Early planning here prevents unpleasant surprises and allows for customization. 4-6 months prior, reach out to solemnizers and florists to arrange ceremony officiation and floral decorations including bouquets and car flowers. Due to their schedules and material sourcing, 3-6 months lead time avoids last-minute unavailability. Also, begin arranging the groom’s suit fittings, rental, or purchases. In the final 1-3 months, finalize wedding stationery such as invitations, welcome boards, and seating charts. Leave time for design revisions and printing delays to ensure delivery on time. Confirm all vendor arrangements and backups to maintain flexibility. Following this timeline embraces a strategic approach in wedding vendor booking, dramatically reducing the risk of disappointment or unavailability and easing the planning burden. Utilizing this roadmap ensures every critical vendor is reserved timely, allowing the couple to enjoy the build-up to their big day with confidence and excitement.
