It's more varied and dynamic than you might think! My day always kicks off with a crucial cup of coffee – it's the receptionist's fuel! Before the main rush begins, I take a moment to set up my workstation. This means organizing my desk, ensuring my phone system, desktop, and water bottle are ready for action. I then review the day's agenda and plan my day, checking for any urgent emails that came in overnight and prioritizing key tasks. This initial planning is vital for staying on top of everything. The bulk of my morning involves managing communications. This includes sending out emails, which can range from responding to general inquiries to forwarding important information. A significant part of my role involves answering calls. As a front desk receptionist, I'm often the first point of contact, so it's essential to handle each call professionally. This means directing calls to the correct department, taking detailed messages, and sometimes even transferring calls, following specific phone system protocols to ensure callers are connected efficiently. The OCR images even showed a detailed phone system layout, which is a big part of mastering this role! Midday usually brings a mix of continued communication and specific administrative duties. One major ongoing task for me is preparing for the Spring Semester. This involves a lot of behind-the-scenes work: updating academic calendars, helping with course inquiries, processing student information, and ensuring all relevant departments have the most current schedules. It's a busy period coordinating with faculty and students, and my role at the front desk is crucial in supporting these larger initiatives. Lunch is a much-needed break from the hustle. I try to make it a healthy one – sometimes it's enchiladas, an apple, and pistachios, as I've seen others do too! It's important to step away from the desk to recharge. After lunch, it's straight back to work, often jumping back into emails and calls. The afternoon can bring unexpected tasks or a new wave of inquiries, requiring quick thinking and problem-solving skills. Throughout the day, updating the calendar is a constant. Whether it's scheduling new appointments, confirming meeting times, or noting important events, keeping the office calendar accurate is a key responsibility. It helps everyone stay organized and prevents scheduling conflicts. Toward the end of my shift, I focus on wrapping up any pending tasks. This often includes tidying my workspace, drafting notes for the next day's team, and ensuring the phone system is set to NGT MODE before I head home. The feeling of a productive day, knowing I've supported my colleagues and served our visitors, is incredibly rewarding.
