4 Questions for Effective Problem Solving At Work

In order to be effective at solving problems, there has to be a framework of questions that will lead towards full alignment on the issue

Here are 4 questions to leverage:

Do we have a problem?

Do we understand the cause of the problem?

Do we see the problem as solvable?

Do we prioritize solving this problem in the same way?

Once you have agreement on these questions, then you can start discussing the solution… what to do about it.

Let's dive a bit deeper into each question and how I've personally leveraged them to navigate tricky situations. 1. Do we truly have a problem? This might sound obvious, but oh, how many times have I seen teams jump to 'solutions' before properly defining the actual issue! I once worked on a project where we thought the problem was slow report generation. We spent weeks optimizing code, only to realize later that the real problem was users not understanding how to request the right data, making the reports seem slow due to back-and-forth clarifications. Taking the time to gather perspectives and look at data, not just assumptions, helped us see the true pain point. It's about being a detective, not just a fixer. 2. Do we understand the cause of the problem? This is where your 'wits' really come into play! Just like a doctor wouldn't treat a symptom without diagnosing the illness, we shouldn't try to fix a problem without understanding its roots. I often use techniques like the '5 Whys' – repeatedly asking 'why?' to drill down. For instance, 'Why is the customer churn rate high?' 'Because they're unhappy.' 'Why are they unhappy?' Analyzing available data can provide incredible insights here, revealing patterns you might otherwise miss. 3. Do we see the problem as solvable? This question is crucial for morale and practical planning. Sometimes, a problem is too big or complex to solve all at once. I remember feeling overwhelmed by a massive bug in our system until we realized we could break it down into smaller, manageable chunks. By confirming that each piece was solvable, we built momentum and confidence. It’s about being realistic and setting achievable goals, rather than getting stuck in analysis paralysis. If it's not solvable in its current form, perhaps the problem needs reframing or a different approach altogether. 4. Do we prioritize solving this problem in the same way?
