📋 Wedding Planning: The Master List (🇸🇬 Edition)
Would you believe me if I told you that the most important document on your wedding day is not your wedding certificate?
That’s right. It isn’t.
It’s your wedding master list.
+++
(No, really. Our JP told us that the actual registration is done online using his Singpass.
You literally don’t need a physical certificate.
We live in an age of digitalisation, baby. Romance is dead.)
+++
But seriously. A ceremonial certificate is beautiful and all, but you know what won’t be? Your wedding day if there is no manual holding it all together.
Which brings me to the most indispensable document we possess in this whole wedding planning journey.
Our operational manual.
Our wedding bible.
Our master list.
+++
Sheet breakdown below. Sheets can be re-ordered to your liking.
Sheet 1️⃣: The AD schedule.
Self-explanatory.
Your helpers must know where to be at. When the bridal car may arrive. Where to pick up / deposit the items. When the solemnisation / lunch starts. When to adjourn to the next location. When to start / stop receiving guests.
Your helpers must also know the order in which these things will be happening.
Your helpers need. To. Know.
Everything.
Literally right down to the minute.
(Okay, 15 minutes. We’re not NASA).
Sheet 2️⃣: Phone numbers.
The bridal party’s numbers are a given. Coordinator. Vendor. Solemniser.
Your parents, in case of relative-related emergency. Or if someone forgets something. You know mothers inexplicably always carry Doraemon pouches.
(If helpers are single and ready to mingle, tell them to take it offline.
This is a Serious Event.)
Sheet 3️⃣: Venue layout.
On top of needing to know what they need to do, helpers must know where they need to go, to do what they need to do. Quite self-explanatory.
If you’re outdoors at some point, your wet weather plan can come here too.
Sheet 4️⃣: Reception table layout.
Yes, your vision of the reception area should be explicitly spelt out for the helpers.
(Or maybe just mine, because we went slightly above and beyond what is typically seen at weddings. That’s what our florist said anyway.
Well, at least I went slightly above and beyond.
The groom just coasted. He also admitted that if he were a guest he would similarly coast past the reception area and go straight for the food.)
… why am I marrying him again?
Insert photographs of any mock-ups prepared in this sheet. Special styling instructions come here too.
Sheet 5️⃣: Logistics to and from house and venue.
To set up your AD venue, you need.. things. And these things.. will come from home.
But then, how does one ensure they packed everything from home?
And more problematically, how does one ensure that whatever goes to the venue.. comes back?
Well, this sheet is how.
Set out which things go into whose car. And which things should come home in whose car. And make sure that either the car owner or the PIC of Things are aware of their charges.
Sheet 6️⃣: Small items
If sheet 5 is a macro view of the Stuff to Bring, sheet 6 will be a micro view of the Stuff within the Stuff to Bring.
That is, if you bring boxes or containers of items, this sheet is where you specify what exactly is in each box or container.
Your helpers won’t be able to read minds, so this is the closest they will get to knowing the method to the madness.
Photographs of the contents of each container also help so they roughly know how to keep everything after the event.
Sheet 7️⃣: Your outfits for the day.
For when you inadvertently forget what you’re wearing and your MUA asks.
Just screenshot the sheet: outfit 1, outfit 2, outfit 3, short timelines for look changes and send that bad boy over.
You can also put your ideal lookbook details here.
Sheet 8️⃣: Photographer / videographer (PG / VG) briefing notes.
If you have a vision of how they should capture the day, here’s your canvas. E.g. “film the friend group eating like you’re a wildlife photographer tracking a herd of cows”.
This is the sheet for your brain dumps.
Also insert contextual notes here: e.g. “Uncle James and Auntie Marie are fighting. Don’t try to catch them together in a frame, even if they’re married”.
We volunteered to run through any changes to the sheet with the PG and VG. They said they’ll read it themselves.
Well, that’s convenient for us.
… And we have written records if reality diverges.
9️⃣: The seating layout.
We IDed the VIP’s and semi-VIP’s seats, like “bride’s mum”, “groom’s dad”, “grandma”, “boss”, “boss’ boss”.
Helps the PG and VG to know who to capture.
Also helps the helpers to also know when to commence the reception, if they are instructed to wait for all the VIPs to arrive.
🔟: AV
On that day, you will have so many multimedia links. Links to your lunch playlist, solemnisation playlist, march-in songs.
You will also have photography group lists and various photo montage videos.
This sheet is the one-stop-shop for all your links.
(But also prepare offline copies for reasons.)
+++
Sheet 11: N/A.
Well…
This sheet doesn’t exist.
Yet.
Like the wedding itself, this document is very much alive.
Embrace every development.
😌
+++
Now, you may ask me, why a master list? Why not 10 different documents?
If you do, let me ask you in return.
Why. Would. You. Have. 10. Different. Documents.
+++
That said, please still remember to specify your physical marriage certificate in the list somewhere.
It should go into sheet 6.
Don’t blame me if it doesn’t make it to the venue.
