How I Used AI to Prepare for a Client Meeting

I used NotebookLM to turn my meeting materials into flashcards and a short video explainer.

The flashcards showed me what I actually knew, while the video helped me understand how the different topics connected. By the time the meeting started, I felt confident discussing every data point I was responsible for representing.

AI didn’t attend the meeting for me—it helped me arrive ready.

For client work, only use materials you are authorized to upload.

... Read moreUsing AI tools like NotebookLM for meeting preparation can be a game-changer, especially when working with complex datasets or detailed reports. In my experience, turning meeting materials into flashcards helped me actively test my knowledge, ensuring I remembered critical information without constantly referring back to documents. Creating a short video explainer was particularly helpful to visualize how various data points and topics interlinked, making the overall context clearer. For example, when preparing for a Q2 growth review, flashcards helped me quiz myself on key drivers like new product launches, improved retention strategies, and strategic partnerships. Meanwhile, the video gave me a big-picture view of how these factors contributed to the overall outcomes. This dual approach built my confidence and allowed me to communicate effectively during the meeting. From a practical standpoint, it’s crucial to only upload and use materials you have authorization for, maintaining client confidentiality and data security. AI doesn’t replace the hard work—you still need to understand the content—but it dramatically streamlines the preparation process, helping you work smarter rather than harder. If you frequently deal with client presentations or need to summarize complex information, I definitely recommend experimenting with AI-powered note-taking and visualization tools. Not only can they boost retention, but they also help connect the dots in ways that traditional note-taking might miss. This method saved me time and made my client meetings more effective and less stressful.
