หลายคนเจอคำว่า instruction ในงานนำเข้า–ส่งออกแล้วแอบลังเลว่าแปลว่าอะไร จริงๆ “instruction” แปลตรงตัวได้ว่า “คำสั่ง/คำแนะนำ/ข้อกำหนดในการทำ” แล้วพอมาอยู่ในบริบทโลจิสติกส์ คำนี้มักหมายถึง “ชุดข้อมูล/คำสั่งที่ต้องส่งให้ผู้เกี่ยวข้องเพื่อดำเนินการต่อ” เช่น ส่งให้สายเรือหรือเอเย่นต์เพื่อออกเอกสารค่ะ ทีนี้ Shipping Instruction (SI) คืออะไร? ในมุมคนทำงานหน้างาน SI คือเอกสาร/ข้อมูลที่ผู้ส่งออก (shipper) ส่งให้สายเรือหรือเอเย่นต์ เพื่อให้เขา “ออกใบตราส่งสินค้า (B/L: Bill of Lading)” ให้ถูกต้อง ชื่อ-ที่อยู่, รายละเอียดสินค้า, เงื่อนไขการชำระค่าระวาง ฯลฯ ถ้าข้อมูลใน SI ผิด บน B/L ก็จะผิดตาม และแก้ทีหลังมักเสียทั้งเวลาและค่าใช้จ่าย แล้วทำไมบางที่เรียก SO? จากที่เจอบ่อยเวลาเคสจีน บางเอเย่นต์หรือบางบริษัทจะใช้คำว่า SO (Shipping Order) แทน SI หรือเรียกปนๆ กัน ทำให้มือใหม่สับสนได้มาก แต่ใจความสำคัญคือ “เป็นชุดข้อมูลเดียวกัน” ที่ใช้สั่ง/บอกให้เตรียมออก B/L และดำเนินการจองเรือ/จัดส่งเอกสารให้ครบค่ะ ตัวอย่าง Shipping Instruction (ตัวอย่างหัวข้อที่มักต้องกรอก) ที่เราใช้เช็กกันก่อนส่งจริงๆ 1) Shipper / Consignee / Notify Party: ชื่อบริษัทและที่อยู่ต้องตรงตามเอกสารการค้า 2) Vessel / Voyage, POL/POD, ETD/ETA: ท่าเรือต้นทาง–ปลายทางและกำหนดเรือ 3) Commodity: รายการสินค้า (ควรใช้คำที่ชัด ไม่กว้างเกินไป) 4) Package / Quantity / Weight / Measurement: จำนวนหีบห่อ น้ำหนัก และปริมาตร 5) Marks & Numbers: มาร์กหน้ากล่อง/เลขอ้างอิง 6) Container & Seal No.: ถ้ามีแล้วใส่ให้ครบ (บางเคสได้หลัง VGM/หลังโหลด) 7) Freight term: Prepaid/Collect และเงื่อนไขอื่นๆ 8) B/L type: Original/Seaway หรือ Telex Release (แล้วแต่ตกลง) ทิปเล็กๆ จากประสบการณ์: ก่อนส่ง SI/SO ให้เอเย่นต์ ฉันจะเทียบ 3 อย่างเสมอคือ Invoice + Packing List + Booking Confirmation ให้ข้อมูล “ชื่อผู้รับ, จำนวน, น้ำหนัก, ท่าเรือ” ตรงกัน ถ้าไม่ตรงให้เคลียร์ก่อน เพราะพอขึ้น B/L แล้วแก้จะยุ่งมาก ถ้าคุณกำลังค้นหา “shipping instruction ตัวอย่าง” แนะนำทำเป็นเช็กลิสต์ของตัวเองไว้เลยค่ะ เวลาโดนถามว่า “ส่ง SO มาไหม” จะได้ตอบได้ทันทีว่า “ได้ค่ะ เดี๋ยวส่ง Shipping Particulars/Shipping Instruction ให้ตรวจ” งานเดินไวและสื่อสารกับต่างประเทศลื่นขึ้นมากจริงๆ
