How I Use Google Calendar to Stay Organized

I’ve seen (and tried) so many different google calendar setups- and there’s really no “best way” to use it for everyone, this is just my set up!

And honestly the way I stay on top of my schoolwork changes every semester (sometimes half way through my semester), for example I used a similar set up last semester except each class schedule had the class times, and assignments due before class were set up as events or tasks the day of class. It worked somewhat, but I found that setting up assignments as “all-day events” on the day they’re due or the night before (if they’re due at like 10am) made it easier for me to scan through my calendar and spot the things I needed to get done.

And the semester before that I was using a physical planner! So it changes, and I encourage you guys to try out different things to find what works for you

My experience has taught me that a well-structured monthly overview is the backbone of academic success, far beyond just knowing your class times. While my initial setup focused on immediate assignments, I've refined it to truly leverage the calendar for long-term planning and stress reduction. First, let’s talk about that monthly view. It’s not just for big holidays! I use it to map out major milestones for all my courses. For instance, I'll mark all exam dates, major project deadlines, and presentation days for classes like MGT 301 and MKT 456 as 'all-day events' at the start of the semester. This gives me a bird’s-eye view of my workload and prevents any nasty surprises. Seeing that a big 'Audience Persona Due' date is coming up in two weeks for MKT 400 allows me to allocate study time well in advance, rather than cramming. Next, color-coding is a lifesaver. My 'My calendars' sidebar is a rainbow of productivity. I have a main 'schedule' calendar for fixed appointments and classes, but then each course, like BUS 321 or IS 335, gets its own distinct color. This way, when I glance at my weekly or monthly view, I can instantly tell if I have a heavy load for a specific class or if my schedule is balanced. For example, all my BUS 321-related tasks might be in a vivid blue, while MKT 400 is sunshine yellow. This visual cue helps me prioritize and switch mental gears between subjects seamlessly. Integrating tasks beyond just assignments is also crucial. While the original article touched on assignments as all-day events, I've found it incredibly useful to utilize Google Calendar's task feature for non-academic to-dos. Things like 'email resume,' scheduling a meeting with a study group, or even remembering to call a family member can be added as discrete tasks. These don't clutter my academic calendar but ensure everything important has a place. I often link these to specific dates, and they pop up just like appointments, ensuring nothing slips through the cracks. Finally, the flexibility to adapt is key. My setup isn't static; it evolves with each semester, sometimes even midway through. What worked when I was juggling a heavy lab schedule might not work when I'm focusing on research papers. Regularly reviewing my calendar, perhaps every Sunday evening, allows me to adjust my strategies. I look at upcoming 'Ch 3 Quiz Due' dates, new lecture topics, and any changes in my 'To-Do' list from Canvas, then allocate my time accordingly. This proactive approach ensures my Google Calendar remains a powerful tool for staying organized and thriving in college, rather than just a digital planner.
