ถ้าใครกำลังหา “แบบฟอร์มสต๊อกสินค้า ฟรี” หรือ “ไฟล์สต๊อกสินค้า Google Sheet ฟรี” เราแนะนำให้เริ่มจากโครงสร้างที่ใช้งานจริงก่อน แล้วค่อยเพิ่มอัตโนมัติทีละขั้น จะทำให้ไฟล์ไม่พังง่ายและทีมใช้งานได้ต่อเนื่อง (โดยเฉพาะธุรกิจ SME ที่ยังไม่พร้อมลง ERP) 1) โครงสร้างไฟล์ Google Sheets ที่ควรมี (ทำเป็น Template ได้เลย) - ชีท “สินค้า (Master)” : รหัสสินค้า, ชื่อสินค้า, หน่วย, จุดสั่งซื้อ (Reorder Point), จำนวนขั้นต่ำ, ที่เก็บ, ราคาทุนล่าสุด - ชีท “รับเข้า” : วันที่, เลขเอกสาร/PO, รหัสสินค้า, จำนวนรับ, ราคาทุน, ผู้บันทึก, หมายเหตุ - ชีท “เบิกออก” : วันที่, แผนก/โครงการ, รหัสสินค้า, จำนวนเบิก, ผู้เบิก, ผู้บันทึก - ชีท “คงเหลือ” : ให้คำนวณจากรับเข้า-เบิกออก (ไม่แนะนำให้กรอกมือ) - ชีท “Transaction Logs” : เก็บประวัติทุกครั้งแบบแก้ไม่ได้ง่ายๆ เพื่อไว้ตรวจสอบย้อนหลัง 2) สูตร/แนวคิดคำนวณคงเหลือแบบไม่ต้องกรอกซ้ำ ในชีทคงเหลือ ให้สรุปยอดรับเข้าและเบิกออกตาม “รหัสสินค้า” แล้วค่อยเอามาหักลบกัน เช่น สรุปยอดรับเข้าทั้งหมด, สรุปยอดเบิกทั้งหมด แล้วได้ “จำนวนคงเหลือจริง” วิธีนี้ช่วยลดปัญหาคนเผลอแก้ตัวเลขคงเหลือโดยตรง 3) ทำ “แจ้งเตือนสินค้าใกล้หมด” ให้ใช้งานได้ทันที - ใส่คอลัมน์จุดสั่งซื้อใน Master - ในชีทคงเหลือทำเงื่อนไขว่า ถ้าคงเหลือ <= จุดสั่งซื้อ ให้ขึ้นสถานะ “ใกล้หมด” - ใช้ Conditional Formatting ทำให้เห็นชัด (สีแดง/ส้ม) จากนั้นค่อยต่อยอดด้วย Apps Script เพื่อส่งอีเมล/แจ้งเตือนตามรอบเวลา 4) ต่อ Apps Script แบบเบาๆ แต่ได้ประโยชน์มาก ไอเดียที่ทำแล้วเวิร์ก: - สร้างเมนูในชีท (เช่น “บันทึกรับเข้า/บันทึกเบิกออก”) เพื่อให้กดแล้วเพิ่มรายการลง Logs อัตโนมัติ - ตั้ง Trigger รายวัน ส่งรายงาน “สินค้าใกล้หมด + จำนวนใบสั่งซื้อค้าง” ไปที่อีเมลทีมจัดซื้อ - ล็อกข้อมูลสำคัญ: เมื่อบันทึกรายการแล้วให้ย้ายไปเก็บใน Logs ลดการแก้ย้อนหลัง 5) ถ้าอยากเป็น “template จัดการสต๊อกสินค้า AppSheet” ต้องเตรียมข้อมูลแบบไหน AppSheet ชอบข้อมูลที่เป็นตารางชัดเจนและมีคีย์: - ต้องมี “รหัสสินค้า” เป็น Key ไม่ซ้ำ - ตารางรับเข้า/เบิกออกควรมี “รหัสรายการ” (เช่น TRX-2026-0001) - ทำคอลัมน์ประเภท (รับเข้า/เบิกออก) และวันที่ให้เป็นชนิด DateTime พอทำโครงสร้างนี้ไว้ ต่อไปจะทำแอปมือถือให้ทีมคลังบันทึกหน้างานได้ง่ายมาก โดยยังใช้ Google Sheets เป็นฐานข้อมูลกลางเหมือนเดิม ทริคจากที่เคยเจอปัญหาหน้างาน: อย่าเริ่มจากไฟล์ที่สวยอย่างเดียว ให้เริ่มจาก “รหัสสินค้า + Logs” ให้แน่นก่อน เพราะสุดท้ายสิ่งที่ช่วยลดของขาด/ของเกินได้จริงคือประวัติการเคลื่อนไหวที่ตรวจสอบย้อนหลังได้ และการแจ้งเตือนสินค้าใกล้หมดที่ทุกคนเห็นตรงกัน
