Interruptions such as unexpected messages, calls, or colleagues dropping by can fragment attention more than we realize. Additionally, constantly switching between tasks or projects—known as task switching—significantly reduces efficiency, making it harder to complete deep, focused work. A practical way I've found to track time is using simple calendar tools to block periods for focused work and noting interruptions. Over days or weeks, this helps visualize how much time is spent in flow versus scattered activities. For example, meetings, emails, and brief check-ins often consume more time than expected. Recognizing this allowed me to schedule deep work sessions earlier in the day when interruptions are minimal. Moreover, the feeling of being busy can sometimes mask inefficiency. It's important to differentiate between being 'productive' and just 'active.' I started setting specific goals for each work period and regularly reflecting if I moved meaningful tasks forward. This mindset shift improves work quality and satisfaction. Ultimately, managing time at work isn't just about working harder but working smarter by identifying hidden time drains—whether interruptions, multitasking, or unstructured workflow—and then adapting strategies to reclaim that time and focus.
