Why You’re Busy but Not Productive

Busy days, no progress? Find out what’s really happening

1. Doing Easy Stuff First 📝

I used to feel super accomplished checking off 5 tiny things—like replying to emails or organizing folders—while ignoring the actual task I needed to do. It gave me a false sense of progress. Now I force myself to start with the hardest or most annoying task first. The relief afterward? So worth it.

2. Switching Tasks Constantly 🔄

Multitasking felt like productivity… until I realized I wasn’t doing anything well. I’d answer a message, then switch to a doc, then scroll—only to forget what I was doing in the first place. Now I batch tasks (emails together, writing together) and my brain feels so much less fried.

3. No Finish Line 🚫

I had this habit of jumping from one task to another without ever finishing anything. It felt like I was always working but never seeing results. So now I give myself finish lines—even if it’s just “Write one paragraph” or “Finish this edit.” Hitting those goals is such a motivation boost.

4. Chasing the Urgent, Not the Important ⏰

Notifications used to rule my day. Every email, ping, or “Can you help with this real quick?” felt urgent. But most of them weren’t. Now, I mute notifications during deep work hours and check messages on my terms. I finally feel like I’m working on my priorities, not someone else’s.

5. Overplanning Instead of Doing 📅

There was a time when I spent more time color-coding my Google calendar than actually doing the task on the list 🙃 I thought planning would give me control, but it became a distraction. Now, I stick to a 1-3 task rule. It’s simple, but it forces me to take action instead of endlessly preparing.

... Read moreMany people confuse being busy with being productive, often finding themselves in constant motion yet lacking substantial achievements. It's crucial to recognize that productivity hinges on the value of tasks rather than their quantity. A useful technique to improve focus is to implement the "Eat the Frog" method, which encourages tackling the most challenging tasks first, providing a sense of accomplishment that cascades into remaining activities. Additionally, prioritizing tasks using methods such as the Eisenhower Matrix can help discern between urgent and important matters. This separation ensures that time isn't wasted on trivial tasks. It's also beneficial to establish specific time blocks during which you focus solely on particular tasks, virtually eliminating distractions from emails, social media, or unnecessary meetings. Another effective approach is to limit the number of tasks you set out to accomplish each day. Adopting a 1-3 tasks strategy can simplify your workload, providing a clear direction while preventing overwhelm. This not only aids in staying organized but also keeps motivation high as you celebrate completing tasks. Lastly, accountability can further enhance productivity. Sharing goals with friends or colleagues can create a supportive environment where you can track your progress and stay motivated. By understanding the difference between merely being busy versus being productive, you can begin to implement strategies that prioritize efficient work over endless activity.

Perfection feels productive.
But a lot of the time—it’s protection.
And protection has a cost. Not in outcomes. In experience. In how much of your life you actually get to feel. Joy doesn’t live in “almost right.” It lives in messy, present, real moments. So the question isn’t— “Did I do it perfectly?” It’s— “Was I actually there for it?” #N

Quiet Is Productive (Just Not Loudly)
I used to think progress had to be loud to “count.” But quiet is productive too — it just looks like clarity, simplicity, and choosing what supports you. If you’re in a season of stillness, you’re not behind. You’re listening. 🌿 Save this for the days you need that reminder.
